Who to contact

What is collected and why

Client sign-in supplies a ChatGPT account identifier and email to authenticate and separate client workspaces. We store the assessment blueprint, hiring organisation and contact, participant code, consent time, disclosed assistance, submitted answers, comments, assessor ratings and notes. This allows the inviting client to administer an assessment and produce a report. The free client pilot requires one private feedback report, including the signed-in email, usefulness rating and message. We use it for product improvement and support. We also record account ID, pilot agreement version, acceptance time and feedback completion time to administer the feedback exchange. Permission to quote feedback anonymously in marketing is separate and optional; any approved quote is labelled as coming from a free pilot user.

No private ChatGPT conversations, account memories, browsing history or inferred intelligence profiles are accessed. The pilot does not send answers to an AI model. If a client copies a job-description prompt to their own AI assistant, that separate service handles the information they choose to paste.

Who can access it

The signed-in client that created the assessment can access its responses and reviews. A private applicant link grants access to that one attempt and its submitted responses, but not answer keys, grades or assessor notes. Anyone who obtains the link can use it: keep it private. This pilot does not verify the applicant's identity or answer authorship.

The service operator and hosting providers may process records to run and support the service. HiringScope is hosted through OpenAI Sites and Cloudflare infrastructure; this pilot does not promise Singapore-only storage. Hosting providers may maintain operational logs, cookies and backups under their own service policies. We do not add advertising trackers or sell applicant data.

Retention and deletion

Assessment records become unavailable 30 days after assessment creation. They are deleted from the live application database on the next authenticated workspace request that runs cleanup. Invitations expire after seven days, or when their assessment expires, whichever comes first. Feedback and pilot agreement records are retained for up to 180 days from submission or acceptance respectively, then deleted at the next cleanup. Cleanup is request-triggered, so physical deletion may occur later than expiry.

While an invitation is active, an applicant can withdraw and immediately clear their answers, conditions, comments and assessor notes from the live application. The invitation is then disabled. Clients can delete an entire assessment and its records. A disabled invitation's code and timestamps remain until assessment deletion or cleanup. For help after a link expires, email support and your hiring team. Deleting here does not delete reports already downloaded by the hiring team or copies in provider backups.

Your choices

You can decline before starting, request an alternative from the hiring team, disclose assistance, skip a task, add a final comment or withdraw. For corrections to a submitted answer, contact the hiring team; answers are fixed to preserve the assessment record. The hiring team is responsible for explaining how participation affects its recruitment process. Clients can decline the pilot feedback exchange before entering. Private feedback is a condition of the free client pilot; a positive rating and public endorsement are not. For feedback deletion, withdrawal of quote permission or leaving the pilot, email support. This pilot agreement does not authorise training AI models on applicant data or using applicant responses in research. Any future research would need its own clearly described arrangements.
